Entering References

1.   Whenever I enter a new reference, the title turns to Greek font or Symbol font as soon as I save it.  It doesn't matter what I do, I can't change it back.

This is a known compatibility issue with Reference Manager v8.x/9.0 and recent versions of Windows when you manually enter data using the default font - Arial.  To avoid the problem, you must set your Reference Manager default font to anything except Arial.  To do this, go into the Tools Menu, choose Options.  Then click on the General Tab and choose another font.

Any new records added to the database will be correctly formatted.  Existing records can be updated by selecting the text and changing the font to the new Reference Manager font.


2.    What are the advantages of selecting items in the keyword, author or periodical name fields using the Automatic Popup Lists when entering references? 

The Automatic Popup Browser available on indexed fields allows you to enter data with speed, accuracy and uniformity.  For example, you might type "lag" and discover the keyword "lagenorhynchus-obscurus" is already highlighted.  To enter the word in the reference, all you have to do is press Enter.  In this way difficult terms need only be entered (and spelt correctly) once. 


3.    Is there any way to activate the Automatic Popup Lists only if I want it?

Press the F3 key to activate a Popup List (as long as you are in a field that uses them).  To prevent Popup Lists from appearing automatically, go into the Tools Menu and choose Options.  Under the General Tab, make sure there is no tick next to "Automatic Popup Browser."  


4.    When entering keywords, do I need to enter both the singular and the plural of the keyword? 

If you enter both singular and plural of keywords, it can make your keyword list hard to manage.  It is safest to enter keywords as singular, rather than plural.  For example, if you enter "fin" (singular), a search will retrieve records referring to both "fin" and "fins."  If you were to search on "fins", then you would not find references containing "fin".  


5.   How can I enter new authors or keywords if the popup browser ignores what I type? 

Type information manually and ignore the popup list. Then [Tab] to exit to the next field. If you hit [Enter] instead, the popup browser replaces what you typed with the closest item it can find on the list. 

Note: In multiple entry fields (like authors), type a semicolon after each name and then [Tab] after the last name.
